We are currently hiring for a Technology Transfer Assistant to support the mission and responsibilities of the Office of the General Counsel (“OGC”) by providing administrative support in connection with the reviewing, negotiation, and processing of Inbound Materials Transfer Agreements (“MTIs”) for transfers of research materials into HHMI laboratories at all locations. This role will provide support to the MTA and License Review (“MLR”) group, the Deputy General Counsel, and Associates General Counsel, as assigned, and other assistance and support within the OGC as requested. This role will report to the Manager, Legal Operations.

Essential Duties and Responsibilities

  • Inbound Materials Transfer Agreements (“MTI”) Administration and Support
    • In coordination with other OGC staff, manage the administrative process of MTI agreements and other assigned matters for HHMI laboratories in accordance with established procedures. Responsibilities may include: monitoring and maintaining the MTA Administrator mailbox, creating new MTI agreement files and records in OGC systems, managing system records, preparing and routing final agreements for signature, and filing electronic copies of Outbound Materials Transfer Agreements (“MTOs”) that are sent in by HHMI field sites. Correspond with HHMI laboratory and host institution personnel as necessary to collect any missing information needed for OGC review of any of these agreements.
    • Work collaboratively with other OGC staff to ensure timely entry and integrity of information in the OGC databases, to streamline processes where possible, and to improve form documents and reporting. Manage all forms of correspondence and appropriate storage processes, and make recommendations on new processes and process improvements.
  • General Administrative Support
    • Provide administrative assistance and support to the MLR group, the Deputy General Counsel, and assigned Associates General Counsel, as requested, which may include: scheduling meetings, making travel arrangements, preparing expense and other reimbursement reports, generating system reports, scanning, copying, and printing documents, and running document comparisons.
    • Provide other assistance and support within OGC on legal matters relating to HHMI’s research activities. Update OGC databases of assigned types of agreements on a timely basis, file correspondence and other documentation, and generally ensure that the information included in the databases about each agreement is as complete and accurate as possible.
    • In coordination with other OGC staff, manage the receipt and recordation process for intellectual property (“IP”) revenue check payments in accordance with established procedures. Perform monthly reconciliations of IP revenue check receipts with the records in HHMI’s financial system. Assist with the resolution of discrepancies with HHMI’s Finance team.
    • Provide backup support for other non-attorney OGC staff.
    • Perform other duties as assigned by the Vice President and General Counsel, Deputy General Counsel, or Manager, Legal Operations.

Required Experience

  • Bachelor’s degree with at least 2 years of office administrative support experience; experience may include internships
  • Interest in science or law preferred
